Who is responsible

BIG WHEELS TRAINING (UK) LTD is the data controller for Roadready. Our registered address is 8 Coates Court, Emneth, Wisbech, England, PE14 8BU, United Kingdom. Privacy requests can be sent to support@bigwheelstraiin.shop.

What we collect

• Account and subscription information: name, email, plan, billing status and internal customer reference.
• Practice data: test focus, weak spots, text prompts, adjustment instructions, generated questions, explanations, plans and error reports.
• Generated media data: diagram and video prompts, task references, output URLs and export requests. This release accepts text briefs and does not offer a public file-upload field.
• Transaction and support data: billing email, payment status, refunds, disputes, support messages, phone number if provided and consent records.
• Technical data: IP address, browser and device signals, security logs, cookie choices and page interactions where analytics consent exists.

How we collect it

We collect information directly when you use the workspace, subscribe, manage billing, contact support or set a cookie preference. Service providers return transaction, generation, delivery and security events. We may derive limited usage counts and mistake patterns from your activity.

Why we use it and legal bases

• Contract: provide the workspace, generate outputs, process subscriptions, exports, cancellation and support.
• Legitimate interests: secure the service, prevent abuse, diagnose failures, measure aggregate performance and improve interface reliability, balanced against user rights.
• Legal obligation: keep appropriate transaction, tax, dispute and compliance records.
• Consent: optional analytics, marketing if separately requested, and processing that law specifically requires consent for. Consent can be withdrawn without affecting earlier lawful processing.

AI inputs, outputs and training

Text inputs are sent to our contracted AI provider to produce the requested practice content. Diagram and video prompts are sent to our media-generation provider. We use provider settings and contracts intended for service delivery and security. Roadready does not use your private prompts, generated outputs or support content to train its own models, and we do not authorise providers to use them for their general model training.

Workspace text and generated result records are retained for up to 90 days for access, exports, security and support, unless you delete them earlier or a longer period is needed for a documented dispute. Provider task data may follow the provider's shorter operational retention. Publicly selected example prompts contain no user data.

Payment provider boundary

Stripe processes Roadready checkout, invoices, subscription management, refunds and disputes. If you choose a PayPal-hosted payment method where displayed, PayPal processes that transaction under its own privacy terms. Payment providers collect payment credentials directly; Roadready does not receive or store complete card numbers, card security codes or complete PayPal credentials.

Who we share it with

• Hosting and infrastructure providers for delivery, logging, storage and security.
• Stripe and, only when chosen at its hosted checkout, PayPal for payment processing and fraud controls.
• AI text, image and video providers solely to complete generation requests.
• Supabase for application database, lead, subscription and generation records.
• Email and support providers for requested service messages.
• Professional advisers, authorities or counterparties when necessary to comply with law, protect rights or handle a corporate transaction.

International transfers

Providers may process data outside the United Kingdom or European Economic Area. Where required, we rely on adequacy regulations, the UK International Data Transfer Agreement or Addendum, EU Standard Contractual Clauses and supplementary safeguards. Users can ask for information about the applicable safeguard.

How long we keep it

• Practice text and generated-result records: generally up to 90 days after creation or earlier deletion.
• Generation task and security logs: generally 30 to 90 days, unless needed to investigate abuse or failure.
• Account and subscription records: while active and up to 24 months after closure for support and reactivation context.
• Transaction, refund, tax and dispute records: up to 7 years where needed for legal, tax and accounting obligations.
• Support and privacy correspondence: up to 3 years after resolution.

Security

We use access controls, encrypted transport, server-only secret storage, least-privilege service credentials, restricted administrative access, logging and provider safeguards. No internet service can promise absolute security. Users should avoid putting identity documents, card data, medical data or other unnecessary sensitive information into prompts.

UK GDPR, EU GDPR and CCPA rights

Depending on location, you may request access, correction, deletion, restriction, objection, portability or withdrawal of consent. You may complain to the UK Information Commissioner's Office or your local EEA authority. California residents may request to know, correct or delete personal information and receive equal service. We verify requests proportionately and respond within applicable deadlines.

• Roadready does not sell personal information.
• Roadready does not share personal information for cross-context behavioural advertising.

Cookies and analytics

Essential cookies support administrator authentication, checkout flow and security. Optional analytics are used only after consent where required. Cookie choices are stored in the browser and can be changed by clearing the Roadready preference and choosing again. See the Cookie Policy for categories and durations.

Automated decisions and children

Roadready personalises practice content but does not make decisions producing legal or similarly significant effects. It does not decide examination eligibility, licence status or driving competence. The service is not for children under 13. Users aged 13–17 need permission from a parent or guardian. We will delete under-age data when we reasonably confirm it was provided without valid permission.

Complaints and changes

Contact us first so we can investigate. You also have the right to complain to the Information Commissioner's Office. Material policy changes will be posted here with a new update date and, where required, notified through an appropriate account channel.
